West Wind Mahjong is a growing lifestyle brand creating premium mahjong products. Our collegiate collections celebrate the traditions, memories, and school spirit that make each university special.

We partner with specialty retailers, boutiques, university-focused stores, and select regional and national accounts across the country. As we continue to grow, we are looking for a highly professional, personable, organized, and proactive Wholesale Coordinator to help us strengthen our wholesale relationships, identify new growth opportunities, and support the day-to-day operations (as it relates to wholesale accounts) of a growing product-based business.

About the Role

The Wholesale Coordinator will support both the day-to-day operations and strategic growth of West Wind Mahjong's wholesale business.

This is not simply an order-entry or customer-service position. We are looking for someone who can build relationships, identify opportunities, think creatively, and take ownership of growing our wholesale presence.

This role combines:

• Retailer relationship development

• Fulfillment support

Hours & Schedule

This is a flexible part-time position averaging approximately 20 hours per week, with the potential to grow into a full-time position for the right person, if desired.

Hours may fluctuate based on the needs of the business. For example, there may be fewer hours during periods when we are awaiting inventory and more hours immediately before and after wholesale markets.

The ideal candidate will be comfortable with a flexible schedule and willing to work additional hours when the needs of the business require it, with advance communication whenever possible.

The position is based in Amarillo, Texas and may include occasional travel to wholesale markets and industry events in cities such as Dallas, Atlanta, etc.

Compensation

This is an hourly, part-time position with a rate of $21 per hour.

The position is expected to average approximately 20 hours per week, although hours may fluctuate based on the needs of the business.

The position offers a strong opportunity for increased hours and potential transition to a full-time role as West Wind Mahjong's wholesale business continues to grow and the responsibilities of the position expand.

Key Responsibilities

Wholesale Account Management

• Serve as a primary point of contact for West Wind Mahjong wholesale retailers.
• Build positive, lasting relationships with retail partners through thoughtful, professional, and responsive communication.
• Respond to retailer questions regarding products, pricing, inventory, orders, shipping, and upcoming collections.
• Follow up with retailers regarding open orders, pre-orders, new product opportunities, and reorders.
• Maintain accurate records of wholesale accounts, contacts, orders, and communications.
• Monitor retailer activity and identify opportunities for reorders and account growth.
• Ensure retailers feel valued, informed, and supported.
• Represent the West Wind Mahjong brand with professionalism and enthusiasm.

Wholesale Growth & Business Development

A key component of this position will be identifying new and creative wholesale opportunities for West Wind Mahjong.

The Wholesale Coordinator will:

• Research and identify prospective retailers and organizations that align with West Wind Mahjong products.
• Develop targeted wholesale growth opportunities based on specific product collections.
• Create outreach lists and strategies for new market segments.
• Identify opportunities beyond traditional mahjong and collegiate retail channels.
• Develop relationships with prospective wholesale accounts and introduce them to West Wind Mahjong.
• Follow opportunities from initial outreach through account setup and first order.
• Identify opportunities to expand existing accounts into additional product categories or university collections.

For example, with the launch of our Mariposa collection, the Wholesale Coordinator may identify and develop relationships with butterfly houses, botanical gardens, nature centers, museums, garden retailers, gift shops, and other organizations whose customers would

Sales & Retailer Development

• Assist with outreach to prospective wholesale accounts.
• Develop professional email and phone communications for retailer outreach.
• Research potential accounts and determine whether they are a strong fit for the brand.
• Assist with onboarding new retail partners.
• Support wholesale sales surrounding new university launches and product releases.
• Monitor reorder opportunities and proactively communicate with retailers.
• Help develop strategies to increase wholesale sales and retailer sell-through.

Markets & In-Person Relationship Building

• Attend wholesale markets, trade shows, and other industry events as needed.
• Assist with booth setup, merchandising, order taking, follow-up, and post-market communication.
• Represent West Wind Mahjong professionally and enthusiastically.
• Build relationships with buyers and business owners.

Travel will be occasional and will depend on the needs of the business and market calendar.

Inventory & Fulfillment Support

Because West Wind Mahjong is a growing product-based business, this role will also provide hands-on support with inventory management and fulfillment operations.

For a local hire, responsibilities will include:

• Assist with receiving and organizing incoming inventory shipments.
• Help inspect products for quality and accuracy before fulfillment.
• Maintain organized inventory storage and product counts.
• Assist with preparing wholesale and direct-to-consumer orders for shipment.
• Help coordinate fulfillment priorities during high-volume periods, product launches, and inventory arrivals.
• Communicate inventory needs, shortages, and potential issues proactively.
• Assist with improving fulfillment processes and organization as the business continues to grow.

This role will work closely with the founder to ensure retailers and customers receive an exceptional West Wind Mahjong experience from order placement through delivery.

Marketing & Retailer Support

• Work closely with our Noted team to provide authorized retailers with product photography, marketing materials, product information, and launch resources.
• Coordinate retailer communications around new product launches and seasonal opportunities.
• Help identify creative ways to support retailers and increase product visibility and sell-through.

Administrative Support

• Maintain organized wholesale records and documentation.
• Assist with invoices, purchase orders, pricing, and account information.
• Track retailer exclusivity agreements and other account-specific requirements.
• Prepare wholesale reports and sales updates as needed.
• Assist with other projects that support the continued growth of West Wind Mahjong.

Experience

Previous experience in wholesale, retail, sales, customer service, business development, marketing, account management, or operations is helpful but not required. Familiarity working within Shopify is helpful but not required. Candidate must be willing to sign a Non-Disclosure Agreement.
